The difference

Most schools do not lack software. They have an admission register in one place, fee receipts in another, marks in a third, and a WhatsApp group holding it together. The cost is not the licences — it is the afternoon somebody spends reconciling three numbers that should have been one.
- 01 A student is entered once The admission form creates the student. Fees, attendance, marks, transport seat, hostel room, library card and the report card all read that same row. Nothing is re-keyed, so nothing can disagree.
- 02 A payment writes the ledger itself Take a fee and the receipt, the student balance, the day-book, the cash or bank account and the income head all move in one transaction. There is no month-end where somebody types the collections into Tally again.

The fee module is an accounting system, not a receipt printer
This is where most school software stops being honest. Printing a receipt is easy. Producing a trial balance that ties to the receipts, a year later, when the concession was reversed and the cheque bounced, is the hard part — and it is the part an auditor asks about.
- 01 Double-entry, event-driven Invoices, payments, refunds, concessions, credit notes and payroll all post journal entries as they happen. The statements are generated from those entries, so they cannot drift from the receipts.
- 02 Periods that close An accounting period can be locked. Once it is, nobody backdates a receipt into a closed month — which is the single most common way school books stop reconciling.
- 03 Online payment with the reconciliation attached Razorpay, PayU, Cashfree and Stripe. The gateway settlement, the receipt and the ledger entry are linked, so a parent’s “I already paid” takes ten seconds to answer.
- 04 GST and TDS where they apply Transport, hostel, uniform and other taxable heads are handled with the right rate and an invoice that stands up. Vendor TDS is deducted and reported.
Permissions are enforced in the query, not by hiding a menu item. A teacher asking for “fee dues” gets their own classes; a parent gets their own children; a branch admin gets their own campus. The same rule applies on the phone as in the browser.

Ask “today’s attendance”, “fee dues per class”, “top 10 students of class 5” or “which students have low attendance” and the answer comes from your own database. Every answer states the window, the class and the campus it used, so you can check it against the register — and it refuses when it cannot answer instead of guessing.

The order matters: classes have to exist before a fee structure can be assigned to them, and students have to exist before attendance means anything. The setup wizard sequences it for you.

An Excel of students, last year’s fee structure, your class list. Any format. We do the import on a copy and show you the totals — student count, outstanding balances, opening ledger — for you to check before anything is live.
STEP 02
Put one real class in
Not the whole school. One class, one day’s attendance, one fee receipt. Twenty minutes, and you have seen the register, the parent alert and the dashboard all reading the same row.
STEP 03
Turn on parents last
Staff first, for a week, while the data settles. Then publish the parent app. Doing it the other way round is how a rollout gets a reputation in the WhatsApp group.

Something not answered here?
Can you import our existing data?
Yes, and we do it before you commit. Send students, fee structures and outstanding balances in whatever format you keep them — Excel, a Tally export, a printout we can key in. We import onto a copy first and show you the reconciliation: student count, total outstanding, opening ledger balance. You check those three numbers before anything goes live.
What happens to our data if we leave?
You export all of it, yourself, at any time, in open formats, without asking us — students, fees, ledger, attendance, marks, documents. That is deliberate. We would rather earn the renewal than hold a school’s records to get one.
Do you handle multiple campuses under one trust?
Yes. A group has one login with campus-level separation: a branch admin sees only their campus, and group management gets a comparison across all of them. Fee structures, staff, timetables and accounts are per campus; students transfer between them without being re-entered.
Will SMS to parents actually be delivered?
Only if the template is DLT-registered, which is an Indian regulatory requirement rather than our rule. An unregistered message is silently dropped by the operator while the software reports “sent” — so we require an approved template before a campaign can go out. Inconvenient once, honest afterwards. WhatsApp and e-mail have no such restriction, and the delivery report is the number to trust, not the send log.
Is this only for CBSE schools?
No. Grading schemes, report card formats, term structures and promotion rules are configurable, so CBSE, ICSE, state boards, IB and Cambridge all work. Coaching institutes and colleges use the same core with batches instead of classes.
How long does it take to go live?
A single school with clean data is usually live within a week, and the trial is fourteen days precisely so that fits inside it. Multi-campus groups and schools bringing several years of accounting history take longer — we will tell you which one you are before you buy, not after.
What does it cost beyond the licence?
SMS credits, if you use SMS, at pass-through rates. Payment gateway charges, which are the gateway’s and go to them. Migration and onboarding are included. There is no per-module unlock and no charge for adding a user.
Can we run it on our own server?
The hosted service is what we support and keep updated. For schools with a policy requiring on-premise, ask — we will give you a straight answer about what we can and cannot commit to rather than a maybe.
