A coaching institute lives or dies on two numbers

Enquiry conversion and fee realisation. A school has a captive student body and a fee that is broadly paid; a coaching institute competes for every admission and collects in instalments from parents who can stop at any point. Everything else — attendance, tests, teacher allocation — matters, but those two numbers decide the year. The product is configured around them for this use.

  • 01 Enquiries with owners and next-action dates A walk-in on Tuesday that nobody called back is a lost admission, and the screen leads with what is overdue rather than with a total. Conversion by source, counsellor and batch is the report that changes next month.
  • 02 Batches, not classes A batch is a course, a timing and a faculty allocation — evening JEE, weekend crash, foundation Class 9. A student can be in more than one, and fees, attendance and tests all follow the batch.

Where this is a good fit, and where it is not

Coaching is the use case furthest from the product’s original design, so this list is the one to read most carefully.

Good fit: multi-centre chains
Each centre keeps its own batches, faculty, fees and books, and the owner sees a comparison across all of them — enquiries, conversion, collection and attendance side by side.
Good fit: fee realisation
Instalments, automatic reminders with a payment link, a live defaulter list and a real ledger. For most institutes this alone pays for the software.
Good fit: enquiry conversion
A real pipeline with owners and next actions, and conversion attributed by source so marketing spend can be judged.
Poor fit: bookable doubt-session slots
One-to-one and doubt sessions are not modelled as bookable, cancellable slots with faculty availability. If that is central to your model, it will be a spreadsheet alongside.
Poor fit: franchise royalty and revenue share
Multi-centre works, but franchise accounting — royalty on collection, revenue share, franchisee statements — is not modelled and we are not building it.

The numbers that matter

Why we lead with conversion and collection

An institute with three hundred students and a 40% enquiry conversion rate is leaving more money on the table than any software licence costs. Two figures are usually enough to find it: enquiries with no next action, and collection against what was due this month.

The first is a list, not a percentage — the specific names nobody called back. In most institutes it is longer than the management believes, because a shared register hides it and a per-owner list with overdue dates does not. The second is the difference between fees billed and fees received, by batch, which tells you whether a particular batch has a payment problem or a particular counsellor promised terms nobody recorded.

Both are on the dashboard rather than in a report somebody runs monthly, and both can be asked for in plain words: “fee dues per batch”, “enquiries with no follow-up”. That is deliberate — a number that requires somebody to build a report is a number nobody looks at during a busy admission month.

Can a student be enrolled in two batches at once?
Yes. A student taking an evening JEE batch and a weekend crash course carries two enrolments, with attendance marked per batch, tests attributed to the right batch, and fees billed for both on one invoice. The student record is one record — that is the point — so a parent sees one balance rather than two.
How do instalment reminders work?
You set the instalment dates when the plan is assigned. Reminders go out automatically on a schedule you configure, on WhatsApp, SMS or e-mail, with a link the parent can pay from. For SMS the template has to be DLT-registered, which is an Indian telecom rule rather than ours — an unregistered message is dropped silently by the operator while the software reports it as sent, so we require an approved template first.
Do you support multiple centres under one owner?
Yes, and it is a common configuration. Each centre is a campus with its own batches, faculty, fee heads and books; a centre head sees only their centre, enforced in the query rather than by hiding a menu. The owner sees all of them compared — enquiries, conversion, collection, attendance and test results side by side.
Can faculty be paid per hour rather than a salary?
Yes. A salary structure can be a fixed monthly amount or built from components including an hourly rate against periods actually taught, which the timetable and attendance already record. Statutory deductions still apply where relevant.
Do you handle online tests with rank and percentile?
Yes — timed papers from a question bank, objective questions auto-marked, and rank within the batch and across centres with percentile. There is a proctored mode that flags tab switches and loss of focus, presented as a report for a human to read rather than an automatic accusation.
What about doubt-solving sessions?
Not modelled as bookable slots with faculty availability, and if that is central to how you operate you should know that now. Sessions can be recorded as batches or as timetable periods, but there is no booking, cancellation and no-show workflow. Raise it on the call — we would rather lose a deal than have you discover it in month two.
Can we take fees by UPI and card at the counter?
Yes, alongside cash, cheque and NEFT. Online payment through Razorpay, PayU, Cashfree or Stripe covers a parent paying from a reminder message. Every mode produces a numbered receipt and posts to the ledger, so the day’s collection reconciles without anybody adding up receipts.
Is there a limit on batches or centres?
Batches are unlimited. Campuses — which is what a centre maps to — are included per plan with more available; a chain of fifteen centres is a straightforward configuration rather than an edge case, and it is worth asking for a group quote rather than buying per centre.
