Occupancy that matches the building

A hostel register kept in a spreadsheet drifts within a term: a student moved rooms, another left, and the sheet says a bed is free that has someone in it. Allocation here is against a real structure — block, floor, room, bed — and the capacity check takes a row lock, so two wardens allocating simultaneously cannot both fill the same bed.

Hostel and mess money on the school invoice

Hostel fees, mess charges and the laundry deduction usually live in a separate book that gets reconciled against school fees at the end of the year, badly. Here they are fee heads: billed on the student’s normal invoice, paid with the same online payment, and posted to their own income accounts so the hostel’s economics are visible.

The question a residential school must be able to answer instantly is where a particular child is. Gate passes are requested, approved by the warden with the parent’s consent recorded, and closed on return. Visitors are logged in and out. Neither is a register at a desk that somebody has to find.

Setting up, and running a term

STEP 01
Model the building
Enter blocks with their gender, floors, rooms and beds. This is the step that decides whether occupancy stays accurate, so it is worth matching the building exactly rather than approximating with counts.
STEP 02
Allocate and bill
A boarder is allocated a bed and picks up the hostel and mess fee heads on their normal invoice. Room changes are recorded rather than edited over.
STEP 03
Run the term
Roll call in the evening, gate passes as they are requested, visitors as they arrive, warden notes at shift change. The overdue-return list is the screen that matters at night.

Does the bed count stay accurate over a year?
It does, because allocation is against real beds rather than a capacity number, and every room change is recorded instead of edited over. The failure mode in a spreadsheet is that a student moves in October, the sheet is updated in one place and not the other, and by March the register says a bed is free that has somebody in it.
Can two wardens allocate the same bed simultaneously?
No. The allocation takes a row lock on the room, counts occupancy and writes within one transaction, so the second attempt is refused. This matters at the start of a session when several people are admitting boarders at once.
How are mess charges handled if a student is away for two weeks?
Mess can be charged as a fixed monthly or term amount, or based on days present. If you use days present, the absence adjustment is applied to the invoice automatically. Either way it appears on the student’s normal fee invoice rather than in a separate mess book.
What happens to hostel fees if a boarder leaves mid-term?
The hostel and mess heads stop from the leaving date and the unused portion is issued as a credit note, so the reversal is in the ledger with both entries linked. The bed is released and the waiting list, if you keep one, moves up.
Do gate passes record parent permission?
Yes. A pass carries the reason, destination and expected return, the warden’s approval, and the parent’s consent — which is the record a school needs if a question is ever asked about why a child was off campus. Open and overdue passes are a live list rather than something to search for.
Is the visitor log usable at a busy gate?
It is a few fields — who, for whom, identification, in-time — with the out-time recorded on departure. Deliberately short, because a visitor form that takes two minutes gets skipped and then the log is worthless.
Can we keep boys’ and girls’ hostels genuinely separate?
Yes. A block carries a gender and allocation enforces it, so a mis-allocation is refused rather than depending on the person doing the allocating remembering. Wardens see their own blocks.
Does it tell us whether the hostel pays for itself?
Yes, and this is usually the number a trust wants. Hostel and mess income comes from the fee heads; provisions, staff salaries and maintenance post as expenses to the same cost centre. The comparison is a report rather than a year-end exercise.
